Airtable-Based Marketing Command Center

A fast-growing healthcare brand was managing content across multiple channels — blogs, emails, social media, and internal campaigns — using a patchwork of tools. They had ideas scattered in Google Docs, social posts stored in Canva, and project updates buried in Slack threads. Trello and Asana had both been tried, but neither tool could handle the full scope of their needs. What the team needed wasn’t just a project tracker — they needed a full content operations system. And the budget was tight.

The Challenges

Content was being planned, created, and approved in isolation. There was no unified view of what was going live, what was in progress, or who was responsible. Team meetings were consumed with updates and status checks. With no reliable central hub, deadlines were slipping and duplicated work was becoming common. Trello lacked structure. Asana lacked content context. Neither tool could integrate planning, execution, and assets in one place.

The Process

I designed a custom Airtable workspace that acted as a marketing command center. Every piece of content, whether a blog post, email, or social tile, lived in a shared calendar, with fields for deadlines, channel, owner, assets, approval status, and more. Each content type had its own kanban pipeline, allowing the team to view content by workflow stage.

I also built filtered views for different team roles, created a dashboard specifically for use during weekly syncs, and ensured the structure could scale with automation tools like Make or Zapier. With built-in asset management and clear ownership tracking, the team finally had a system that worked the way they did, not the other way around.

Here's what happened next...

With the new system in place, the marketing team finally had a real sense of clarity and control. Work stopped slipping through the cracks. Weekly meetings became focused and productive. New content campaigns launched more smoothly. Most importantly, the system didn’t add complexity. It removed it. For the first time, the entire team was aligned and in sync, without having to learn yet another software platform.
